Policies & Agreements

Please review the following policies. You may agree now or later — agreements are required before your child can be enrolled in classes.

Participation Agreement

By agreeing to this policy, you acknowledge and accept the following conditions of participation for your child at Aqua Journeys Swim School:

1. Supervision & Property Safety

Parents/guardians are responsible for supervising their children before and after lessons. Aqua Journeys Swim School, its staff, and property owners are not liable for any injuries or incidents that occur outside of scheduled lesson time.

You are also responsible for informing any guests or visitors of our safety rules and policies. Children must remain with their parent/guardian when not actively participating in a lesson.

2. Tuition & Billing

Weekly tuition is due one week in advance. Tuition reserves your child's weekly time slot, not individual lessons. Tuition is still due for any missed lessons.

Auto-Draft: If tuition has not been paid by Thursday, it will be automatically charged to the debit/credit card on file. A valid card on file is required to remain enrolled.

No Refunds: We do not offer makeups, credits, or refunds for missed or canceled lessons.

For extended absences due to illness or family emergencies, please speak with the front desk. We may recommend temporarily withdrawing and returning once your child is ready.

To withdraw: Submit a Drop Request Form by Thursday the week prior.

3. Punctuality & Lesson Attendance

Please arrive at least 5–10 minutes early so your child is ready for their scheduled lesson. Late arrivals may result in a shortened lesson or a missed session depending on instructor availability.

4. Pool & Facility Safety

Students are not allowed on lifeguard towers or in restricted areas. All participants must follow posted pool rules and staff instructions at all times.

5. Absences Due to Illness

To protect the health of all students and staff, please keep your child home if they are experiencing any of the following symptoms:

Fever over 101°F
Vomiting or diarrhea
Rash or persistent cough
Contagious conditions such as pink eye or head lice

Children must be symptom-free for at least 24 hours before returning to lessons. Tuition is still due for days missed due to illness.

6. Withdrawals & Schedule Changes

Required Notice: To cancel or change your child's lessons, you must submit a Drop Request Form by Thursday the week prior to avoid charges for the upcoming week. We require at least 7 days' notice for all schedule changes or withdrawals.

Non-Refundable: Registration fees and tuition are non-refundable.

ACKNOWLEDGMENT: I have read and understand the policies listed above. I agree to follow all safety guidelines, payment terms, and communication requirements as a condition of my child's participation at Aqua Journeys Swim School.

Photo & Video Authorization Agreement

I authorize Aqua Journeys Swim School to take photographs and/or video recordings of my child during swim lessons, events, and related activities.

Permitted Uses

These images and recordings may be used for the following purposes:

Social media posts and marketing materials
Website content
Internal training and instructional use
Promotional materials (print and digital)

My child's name will never be used publicly, and all images and recordings will be used respectfully and in a way that reflects the values of Aqua Journeys Swim School.

Compensation & Ownership

I understand that I will not receive compensation for the use of these images or recordings, and that all media will remain the property of Aqua Journeys Swim School.

Policy Agreement Form

Sick Policy

To prevent the spread of illness, we recommend keeping your child home until they are symptom-free of the following for 24 hours:

Vomiting or diarrhea
Rash or persistent cough
Fever over 101.0°F
Contagious conditions such as head lice or pink eye

Payment is still due for days that children are absent due to illness.

Payment Policy

Weekly tuition payments are due one week in advance (before Friday) for the following week's tuition. Payments cover your child's time slot, whether the child attends or not. Once tuition has been charged, you are committed for the week.

Auto-Draft: If tuition has not been paid, payments will be auto-drafted each Friday using the credit card on file.

Late or Missed Lessons

If a child is late or missed their scheduled lesson time, the child may receive a shortened lesson that day or may not be able to have their lesson. Speak to the front desk to see if there is availability in the instructor's schedule that day.

If a child misses 3 consecutive lessons with no contact or payment made, they will be dropped from the class.

The Parent Agrees:

Payment is still due for days that children are absent due to illness.
A credit card is stored on file to be automatically charged every Friday for the child's upcoming week of tuition, whether in attendance or not.
All scheduling must be done through the front desk.
A two-week notice shall be given to terminate services by parent or guardian.
Termination of lessons for any reason is paid whether the child attends or not.
Registration fee and tuition fees are non-refundable for any reason.

Tuition, Attendance & Drop Policy Agreement

This policy outlines Aqua Journeys Swim School's tuition, attendance, and drop procedures, including payment timelines, missed lesson policies, and required notice for withdrawals or schedule changes.

Tuition & Billing

Weekly tuition payments are due one week in advance of your child's scheduled lessons.
A valid debit or credit card is required to be saved on file in order to remain enrolled.

Auto-Draft: If payment is not received by Thursday, your account will be automatically charged using the payment method saved in your Parent Portal.

Attendance & Missed Lessons

You are reserving a weekly private lesson time slot, not individual lessons.
Tuition is due regardless of attendance. If your child misses a scheduled lesson, the time slot and tuition remain reserved.

No Refunds: Aqua Journeys does not offer credits, refunds, or makeups for missed lessons.

For extended illness or time off, we recommend withdrawing from the schedule and re-enrolling when your child is ready to return.

Schedule Changes & Withdrawals

Drop Request Form Required: To withdraw from lessons or make a schedule change, a completed Drop Request Form must be submitted by Thursday the week prior. We require a minimum of 7 days' notice for all changes or cancellations.

Without written notice submitted through the form, your child will remain on the schedule and tuition will continue to be charged.

Vacations & Temporary Breaks

If your family is planning a short break from lessons, you have two options:

Unenroll your swimmer to avoid tuition charges. Your child will be removed from the schedule and placed on our waitlist for future rescheduling.
Continue paying tuition to reserve your current time slot while away.

All breaks — temporary or permanent — require a submitted Drop Request Form and sufficient notice, as outlined above.

Waiver and Release of Liability

In consideration of being allowed to participate in swim programs and related activities offered by Aqua Journeys Swim School (Aqua Journeys Swimming LLC), I, the undersigned and legal parent/guardian of the participant, acknowledge, understand, and agree to the following:

1. Assumption of Risk

I understand that swimming and aquatic activities involve inherent risks, including but not limited to the risk of serious injury, disability, or death. I knowingly and voluntarily assume all such risks for myself and/or my child, whether known or unknown, and even if arising from the negligence of Aqua Journeys Swim School or its staff.

2. Responsibility for Participation

I agree to comply with all safety rules, instructions, and guidelines provided by Aqua Journeys Swim School. If I observe any unsafe conditions or hazards during my child's participation, I will remove my child from participation and immediately report it to an instructor or staff member.

3. Release of Liability

I, on behalf of myself, my child, and our heirs, assigns, and legal representatives, hereby release, indemnify, and hold harmless Aqua Journeys Swimming LLC, its owners, officers, instructors, employees, agents, and affiliates (the “Releasees”) from any and all liability for injury, illness, disability, death, or property loss resulting from participation in swim activities, whether arising from negligence or otherwise.

Medical Certification & Emergency Authorization

I certify that the participant is in good health and physically able to participate in swim activities.

Emergency Authorization: In the event of a medical emergency, I authorize Aqua Journeys Swim School to take appropriate action, including arranging emergency care or transport. I agree to be financially responsible for any medical services required.

ACKNOWLEDGMENT: I have read and fully understand this Waiver and Release. I understand that I am giving up certain legal rights and agree to these terms voluntarily on behalf of myself and/or my child.
